Pet Haven is growing! This is an exciting time for our organization and we are looking to expand our team. We have more than doubled our intake of animals in the last 3 years and as a result, we need to expand our team. We are restructuring our current positions and will now be looking for a new Operations DireManager!   This is a big seat to fill but incredibly rewarding especially when you see all the happy families we help to create!

Job Title: Operations Manager

General Job Description

Who we are:

Founded in 1952, Pet Haven is Minnesota’s first foster-based animal rescue organization. Our mission is to improve the lives of pets and the people who love them by rescuing, rehabilitating  and rehoming dogs and cats; reducing pet overpopulation by supporting spay and neuter efforts and providing resources to people that help strengthen the human-animal bond. At Pet Haven, you’ll be part of a community that values excellence in service and care, compassion, integrity and innovation and strives to be a rewarding place to volunteer. Pet Haven has three paid employees and over 450 active volunteers.

Position Responsibilities

Financial Management

  • Track, input and manage monthly business expenses, manage vendor relationships and negotiate favorable terms with suppliers where possible
  • Prepare and oversee an annual budget for Operations teams

Operations Management

  • Manage all day-to-day aspects of the rescue with the Program Manager and other staff/key volunteers
  • Proactively report updates, key metrics and all matters of importance to the Executive Director
  • Develop written policies that enable the organization to be agile and growth-oriented
  • Oversee all information technology areas including Gmail, Google Drive and Sparkie (animal rescue software)
  • Once a physical space is secured, manage general office administration and operations

People Management

  • Oversee supplies, administrative and vet care volunteers and provide timely support and responses to concerns
  • Provide support and guidance to suppliers, vet care and administrative volunteers on customer services issues such as effective communication and conflict resolution strategies
  • Manage the Vet Care Manager position and team, including handling annual performance reviews and development plans
  • Create role and team clarity for supplies, vetting, and administrative volunteers, including maintaining position descriptions
  • Recruit and onboard volunteers for the supplies, vetting, and administrative teams

Skills and Qualifications:

  • Love for animals and a strong commitment to Pet Haven’s mission
  • At least 3 years of operational/administrative management experience in a customer-facing industry or non-profit
  • Budget management experience
  • Strong interpersonal skills and ability to get along well with a variety of people
  • Demonstrated ability to work collaboratively on complex issues and handle multiple tasks in a fastpacked environment under sometimes tight deadlines
  • Comfort and experience with delegating tasks
  • Strong written and verbal communication skills
  • Ability to work independently and effectively manage remote volunteers
  • Discretion and the ability to appropriately handle sensitive and confidential information
  • Comfortable working in the animal welfare arena and the ability to recognize and mitigate compassion fatigue in yourself and others
  • Proficiency in database management, social media, QuickBooks, WordPress, Microsoft Office and GSuite, including Gmail and Google Drive

Hours and Availability:

The Operations Manager is a full-time position (40 hours per week). Daily emailing and/or phone calls are required. Flexibility is required. Weekend and evening hours, in excess of 40 hours per week, will occasionally be a part of this position. This is currently a remote position.

Supervisor: Executive Director

Salary Range: $36,000-$42,000
