This Director of Operations is responsible for managing internal processes and teams, which enables the Executive Director to focus on external matters (fundraising, public relations, and partnerships.) The Director of Operations manages the strategic, operational, and administrative duties of Pet Haven. Planning The Director of Operations will work closely with the Executive Director, Animal Care Manager, Volunteer Manager, Cat/Dog Division Managers, and other key organization members to identify the strategic goals and determine what resources, including people and finances, are needed to achieve these objectives. This person will help prepare and remain accountable for an annual operational budget. Duties include reporting and analyzing key metrics. The Director of Operations will develop systems that enable the organization to be agile and growth-oriented and support the Executive Director in meeting critical deadlines. Additional pertinent duties/responsibilities may be required beyond this description. Lead and Supervise: Volunteer Intake and Transport Team Volunteer Dog Division and Cat Division Managers' Foster Onboarding Team Adoption Coordinator Team Volunteer Supplies Coordinator + team Administrative Volunteers If any of the above volunteer positions become vacant, you will be responsible for filling in while a replacement is found. You will also be responsible for recruitment, interviews, and hiring, with the support of the Executive Director, and oversee the retaining, and rewarding of these positions with the support of the Volunteer Manager. Managing all day-to-day aspects of the rescue alongside the Executive Director Responsible for ensuring that Pet Haven’s physical office operates as efficiently and leads the rest of the team in good practices, establishing new policies, ensuring safety compliance, handling maintenance, and facility issues, and updating SOP's.. Serve as the organization’s Human Resources Manager Recruit, retain, and inspire a top team of volunteers and staff with the support of the Executive Director and the Volunteer Manager. Assist in establishing clear roles and responsibilities for volunteers and staff. Create and manage recruitment and onboarding efforts. Draft and implement human resources policies with the support of the Board. Create and implement a performance review system. Manage facilities and technology Pet Haven has expanded our reach by opening up our first-ever facility in the heart of the Frogtown/Rondo neighborhood in St Paul. The Director of Operations ensures that facilities and infrastructure are safe and support the Pet Haven mission. Schedule and facilitate needed maintenance and installations. Manage waste disposal, cleaning, security, allocation of office space, etc. Manage computer network and telephone systems with the aid of outside contractors as needed. Oversight of all information technology areas, including Google Suite, and animal database (Sparkie), and help assist in any issues or find the correct help needed. Status and Availability: The position is full-time exempt. The time commitment for this position is 40 hours a week. There may be weekend hours or events that you will be expected to attend. Daily emailing and phone calls are required. Flexibility as to schedule and a willingness to occasionally work more than 40 hours is a must. The position is a “hybrid” of in-office, field, and remote. Specific Job Skills and requirements Must love animals Must have 3+ years of management and leadership skills in several of the following areas: Volunteer management Administration Communications, marketing, and public relations Human resources Financial management and budgeting Animal welfare Information Technology Bachelor's degree in business management, finance, human resources, or animal science is preferred, or on the job experience Must be 21+ and have a valid driver's license in the state of MN Strong commitment to animal welfare and the mission of Pet Haven Ability to work courteously and cooperatively with all members of Pet Haven and the public. Work as a team player, supporting the overall goals of the organization with a positive solution-based focus. Strong interpersonal skills - outgoing, patient, professional, and able to get along well with a variety of people. Ability to handle multiple tasks and work in a fast-paced environment under sometimes tight deadlines. Must have experience with delegating tasks. Maturity, good judgment, and a professional personal appearance. Strong written and oral communication skills Proficiency in Microsoft Windows and Office. Proficiency using Google Suite. Ability to take initiative and work with minimal supervision and direction. High-level experience using social media. You will be expected to use this for the rescue. We use Facebook to coordinate and communicate with volunteers and fosters Experience with annual audits preferred Strong self-awareness and emotional intelligence, able to balance decision-making with diplomacy. Comfortable working in the animal welfare arena and the ability to recognize and support compassion fatigue in yourself and others. Any fundraising experience is a plus. Must be willing to learn.
