We are looking for a new Volunteer and Events Manager!

 

Pet Haven is Minnesota’s oldest foster-based animal rescue, rescuing and rehoming over 1,000 dogs and cats each year. Pet Haven has a staff of 4 full-time and two part-time positions and relies greatly on the efforts of more than 450 volunteers. The Volunteer and Events Manager will report directly to the Executive Director and also serve on Pet Haven’s Leadership team, which includes the Executive Director, Operations Director, and Vet Care Manager. This team works collaboratively to continuously improve processes and procedures along with community exposure of the organization.

Strategic mission

Broadly speaking the Volunteer and Events Manager's mission is to recruit, record, retain, and recognize all of the various volunteers necessary to help Pet Haven improve the lives of pets and the people who love them. Also, support current community engagement efforts and create new ways to enrich the organization. 

 

Overall Summary and Description

 

The Volunteer and Events Manager is an integral member of the Pet Haven leadership team with the objective to support the mission of Pet Haven by building an ever-increasing network of volunteer support for the organization. The Volunteer and Events Manager is responsible for volunteer recruitment, orientation, project planning, implementation, and supervision of volunteer activities.  The Volunteer and Events Manager will work closely with the ED to coordinate fundraising and “friend-raising” events through the utilization of volunteer support.  This is a full-time position. The schedule for this position requires weekdays as well as occasional weekend and evening hours to manage volunteer group activities, committee meetings, and events to benefit Pet Haven. This position is a hybrid of remote/office.

Specific Responsibilities


Volunteer Management Duties

  • Recruits, screens, interviews, and trains new volunteers. Provides ongoing training and supervision of existing volunteers, ensuring that volunteers are given appropriate training to be successful in their positions
  • Works with volunteers individually and in small groups 
  • Schedules shifts, training, and orientations for all new volunteers
  • Orients, trains, coaches, motivates, measures, and evaluates volunteers in accordance with organizational policies, procedures, and programs 
  • Conducts frequent volunteer orientation sessions and develops volunteer training and promotional tools using the Pet Haven branding.
  • Acts as liaison between volunteers and the organization to ensure that staff are prepared for the arrival of volunteer groups 
  • Develops and maintains accurate records including applications, volunteer records, waivers, etc.
  • Develops regular internal volunteer communications and updates with input from other staff and volunteers
  • Plans and implements formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization 
  • Works with social, civic, and local organizations to develop partnerships, where appropriate, to develop and/or utilize volunteers
  • Recommends and develops ongoing volunteer utilization and new roles, when needed
  • Maintains volunteer calendar, arranging schedules for different departments and activities where volunteers are utilized

Event Duties

  • Assists in the planning, implementation, and logistical support for Pet Haven events including adoption “meet and greets”, quarterly and virtual fundraising events, as well as volunteer appreciation and friend-raising events
  • Works closely with the Executive Director to assess the volunteer needs for each event. Promote event opportunities through various channels
  • Evaluate current events for ROI and assist in creating and evaluating new events.

Job Skills and Requirements:

  • Must love animals!
  • Must be ready to put your boots on and get to work!
  • Superior verbal and written communication skills
  • Ability to provide excellent customer service
  • Proficiency in Microsoft Windows and Office
  • Proficiency using Gmail preferred, including Google Suite
  • Must be 21+ and have a valid driver's license in the state of MN
  • Strong commitment to animal welfare and the mission of Pet Haven
  • Able to supervise and create strong and positive team relationships with staff, volunteers, and fosters
  • Strong interpersonal skills for management of staff, volunteers, vendors/contractors, and interface with the public
  • Ability to handle multiple tasks and work in a fast-paced environment under sometimes tight deadlines
  • Must be comfortable delegating tasks
  • Must be self motivated
  • Willingness to work a flexible schedule
  • High-level experience using social media

Availability:

Ability and willingness to allow for a flexible schedule are key.  This is a salaried position with a time commitment of at least 40 hours a week. While some remote work is possible, you will be required to be in the office (St. Paul) at least 3 days a week.  Daily emailing and/or phone calls is a must.

 

Salary and Benefits

 

  • Salary range $38,000-$42,000
  • Health stipend  of $200/month 
  • Generous PTO policy starting at 160 hours/year
  • Cell phone reimbursement of $30/month
