Pet Haven is Hiring a Veterinary Care Manager

Description of position

The veterinary care manager oversees the wellness, sterilization, and care needs of the animals in foster care with Pet Haven. We have an average of 50-75 dogs and 200 cats in our program at any one time. 

This person will work closely with the Pet Haven Operations Director, the Animal Care Team, the Surgical Team, and our external veterinary clinic partners. Initiative, problem-solving, adaptability, high standards, attention to detail, positivity, collaboration, and flexibility are crucial to success in this role. 

This is a full-time position with remote and on-site responsibilities at the St Paul headquarters. 

Responsibilities:

Ensure animals in Pet Haven foster homes receive optimal and timely communication and care for wellness, vaccinations, sterilization, and medical needs

  • Review intake emails to understand the medical needs of  pets' coming into the organization and send welcome emails to fosters notifying them of vetting needed or health concerns noted
  • Respond to emails and calls as the point person for all animal animal care needs and concerns
  • Authorize vet care as needed
  • Schedule foster pet urgent/emergency/complex surgery procedures with partner clinics 
  • Organize and ensure database accuracy for foster animal medical records 
  • Manage ongoing, chronic, or special needs cases by collaborating with partner vet clinics, fosters, and Pet Haven leadership to decide on long-term care plans
  • Maintain and build strong  professional and  positive partner clinic relationships 

Provide and/or oversee onsite care, including vaccination-wellness clinics and sterilization-surgery clinics

  • Schedule foster animals for onsite care 
  • Assist with onsite vaccination, surgical and preventive medicine clinics
  • Provide foster animal care as part of onsite care activities
  • Assist with surgical center operations
  • Ensure all Pet Haven policies are being followed and executed for medical care
  • Manage the condition and organization of vetting rooms
  • Stay current in best practices to ensure the quality of care is high

Manage the animal care inventory and budget 

  • Manage microchip inventory at partner clinics  
  • Co-manage medical supplies, drug, and special diet inventory on-site 
  • Audit monthly spending reports using the animal management software database to evaluate the actual cost of care in comparison to the monthly budget
  • Help balance the optimum care of the foster with overall budgetary constraints

Supervise and support the animal care team

  • Answer questions promptly
  • Ensure all team members are performing their job duties effectively
  • Appropriately delegate tasks to the proper coordinator
  • Provide performance feedback and work direction

Partnerships and program success

  • Collaborate with Pet Haven teams to identify and execute ongoing fundraising efforts for special needs animals
  • Rotate on-call schedules with other leadership teammates for emergency line coverage on weeknights and weekends
  • Collaborate with Leadership and team members to ensure a positive culture and the best ways to improve and grow the organization

 

Qualifications

Required: 

  • Certified Vet Tech or equivalent clinic/field experience 
  • Supervisory experience
  • Budget and inventory management experience
  • Strong commitment to the mission of animal welfare and rescue work
  • Detail-oriented and a love for being organized
  • Demonstrated high standards of animal care
  • Demonstrated ability to work independently and with initiative
  • Problem-solving skills 
  • Effective and enthusiastic team leader
  • Positive interpersonal skills - professional, empathetic, and compassionate 
  • Interest in skill and knowledge development 

Preferred

  • Shelter or rescue medicine experience
  •  Budget and inventory management experience

 

Technical standards

  • Ability to communicate  both orally and in written form, timely, thoughtfully, and clearly in all cases but especially with sensitive information

 

  • Proficiency in Microsoft Windows, Office Suite, and G Suite, including Gmail, Google Drive, and Excel 
  • Access to email (laptop provided) and smartphone (will be provided if needed)
  • Ability to restrain animals with both hands and arms; feel animals or objects, tools or controls; lift and carry up to 50#; able to work with animals on the floor or a table

Compensation

  • $37,000- $50,000 annually, depending on skill set and experience

Job Description:

  • Works within an approved veterinary budget and makes careful decisions for care with the budget in mind but, most importantly, in the best interest of the pet
  • Audits monthly spending reports using the animal management software database to evaluate the actual cost of care in comparison to the monthly budget
  • Manages microchip inventory at partner clinics  
  • Collaborates with Pet Haven teams to identify and execute ongoing fundraising efforts for special needs animals
  • Rotates on-call schedules with other leadership teammates to ensure emergency line coverage for weeknights and weekends
  • Schedules onsite vetting, including vaccine clinics, technician appointments, and surgeries
  • Hands-on vet tech procedures and supplies ordering/management 
  • Administering vaccinations, microchips, blood draws, preventatives, intake exams, etc., and maintaining animal records onsite
  • Assists Animal Care Assistant in the management and operations of the surgical center, including assisting in surgery/spay neuter  clinics
